Starting a Videoconference in the Boardroom:
1. Turn on the projector using the white Epson remote control by
pressing the red power button.
2. Turn on the Sony video conference system by pressing the green
power button on the Sony remote control. This will also turn on the
LCD monitor.
3. If you are going to be using a computer for a presentation, it is
best to turn on the projector prior to docking your laptop.
4. The video conference unit will start up
and the initial screen will appear. The
projector must be on to see this screen.
5. Use the main control buttons to highlight
the “Phone Book” icon (it will turn yellow)
and press the “ENTER” button to bring up
the phone book listings. To add multiple
locations you can press the “CONNECT/
DISCONNECT” button and go to the
“Phone Book” icon
6. The phone book will appear with the
most recent numbers dialed appearing first.
7. Use the main control buttons to move
thru the phone book until you find the
location you wish to connect to and press
the “ENTER” button. Select “Dial” from
the list of choices and press the “ENTER”
button to connect.

8. The video conference unit will dial the
selected location and you will see the following
screen.
9. Once connection has been made you will see
the far side on the projector and the near
location on the lcd monitor.
10. To add in more locations, press the
“CONNECT/DISCONNECT” button, and
repeat the steps of looking thru the phonebook
and connecting the location.
11. If you are using the polycom as your audio
source along with video conferencing, you will
need to mute the microphones on the video
conference unit by pressing the “MIC ON/
OFF” button. When the mic is off at this end, a
“MIC OFF” icon will appear on the screen.
12. If you wish to see the camera from this end,
press the “PnP” button. This will cycle through
the various picture-in-picture locations (one of
the 4 corners, or none).
13. Use the volume control on the Sony remote to increase or decrease
the audio level from the other sites. If you are not hearing any audio,
ensure the audio amp is turned on, and the ‘VidCon’ volume control
and ’Master’ volume control are turned up. Also, check with the other
party to makes sure their mics are not turned off.

14. When in a conference, you can adjust the camera by using the
main control button to pan and tilt the camera, and the zoom
button to zoom the picture in or out.
There are also 6 preset camera locations available by
pressing #1-6 on the keypad. If you wish to change a preset, use
the controls to achieve the shot you want, and then press the
preset location button (1-6) down for 3 seconds. You will see a
message on the screen when the preset has been saved.
15. You can adjust the far camera by pressing the “FAR/NEAR”
button, using the main control button to highlight the ‘Control’
icon, selecting ‘far’ and pressing enter. You will see the ‘FAR’
icon on the screen and now when you pan, tilt, or zoom, you will
be controlling the camera at the far end. Remember to reset back
to Near Camera when you are done controlling the far site’s
camera.

Sending Computer Images:
•
Connect your laptop to the dock or to
the loose cable on the DSB Box
(Seen Right).
•
Select which input your computer is
hooked up to by pressing the RGB A
or RGB B button on the top of the
DSB Box.
•
To send your computer signal
(usually powerpoint presentation) to
the far end of the videoconference,
press the “send” button (middle
button) on the top of the DSB Box.
•
Your computer image should now
appear on the projector and at the far
end.
•
If you get “sync error” on the screen
or they don’t see your image at the
far end, ensure your computer is set
up properly. (see “Connecting A
Laptop to a Projection Unit”
on page 7)
You can also send the presentation
by using the remote control:
• Press the “PRESENTATION”
button to send the presentation.
Press the button again to stop
sending the presentation
• You can also change the input of the
Data Solutions Box from the remote
by pressing “VIDEO INPUT” and
using the main control buttons to go
to DSB INPUT , change to RGB A
or B, and pressing “ENTER”.

Sending DVD Signal:
•
Turn on the DVD Player and insert
your DVD.
•
Press the “VIDEO INPUT” button
•
Use the main control buttons to
change the VIDEO IN label to DVD
PLAYER and press “ENTER”
•
Your DVD video should now appear
on the projector and at the far end
with audio at both locations.
When you are finished, repeat the
process, but change the VIDEO IN
back to BRD ROOM CAM.

Ending a Video Conference:
Press “CONNECT/DISCONNECT” button. You will be asked
a question Disconnect?
• Press “CONNECT/DISCONNECT” button again or the
“PUSH/ENTER” button to end meeting connection.
The screen view will return to your main window.
• Press the green “power off” button, you will be asked if you
want to “Power Off?” Press green button again to respond Ok
or press right arrow to highlight cancel and “Push Enter” button
to return to main page.
Note that the monitor will turn off after a couple of moments.
To Shut down the Projector:
• Using the projector remote, press the “Power” button on the
remote, a warning screen will appear.
Follow the instructions on screen.

Connecting a Laptop to a Projection Unit

Turn the projection unit on and check it is on “computer” input by pressing the “source” button on the remote.
Connect the laptop to the projector with the VGA cable or by docking the unit.
Turn the laptop on - the computer should automatically sense it is hooked up to the projector and your screen resolution may
change.
If you don’t see the image on the screen, you may have to change the settings on the computer to output the image at the correct
resolution.

You should now see your image on the screen.
If you do not see your image, press “Fn” + “F8” at the same time to scroll thru the display options of displaying the image on just the
laptop, just the projector, or both.
If you don’t see the image (get sync error) or if you see the image, but the ratio is off or the image does not fill the screen, you may
have to do a couple of more adjustments:
1. Right Click on
the desktop & select “ Graphic
Properties”
3. Select “ Aspect
Ratio Options”
2. Select “ Display Settings” and change to
“1024x768”
4. Select “Full
Screen ”, select “ OK”,
then click on “ Apply”.
You should see the
image full screen.
